A plan for Valvanti Building Supplies
For the family who run Valvanti Building Supplies in Bicholim and Valpoi, from Sarat at Asymmetrica. October 2026.
What's going wrong, in your words
We spent a morning at the Bicholim godown and an afternoon at the Valpoi counter. This is what you told me.
- "Only our manager knows who owes what." Around forty contractors buy on credit, and their balances are split between Tally, the counter notebooks and one person's memory.
- "Valpoi says it's in stock, Bicholim sends the truck, and it isn't there." Each place keeps its own stock list, and neither is quite right.
- "Some challans never become invoices." Goods go out on a challan, the invoice comes later from a pile of carbon copies, and a few slip through every month.
None of this is anyone's fault. The business has grown to two places, three trucks and thirty people, and the notebooks were made for one counter.
What I'd build
One set of books for both places. An app on your own computers at Bicholim and Valpoi. A sale is billed once, stock goes down where it left from, and credit goes into that contractor's account. Every challan stays on a list until it becomes an invoice. Each night the app writes a file for Tally, so your accountant carries on as before and nobody types the day twice. If the internet drops, each counter keeps billing, and the two catch up when it's back.
First, the old records. I'd bring the credit accounts, notebooks, both stock lists and last year's Tally data into one clean set, with a report of every change. We'd agree each contractor's balance before the app starts from it.
What I'd skip, and why
- A new accounting system. Your accountant knows Tally. It works, so it stays.
- GPS on the trucks. Your drivers phone in, and that works.
- A WhatsApp helper for contractors, for now. Good idea, but it needs records it can trust. Let's revisit in a few months.
What it costs
Each phase has a fixed price, agreed before I start. You pay part when it starts and the rest when you've seen it working.
| Phase | What you get | Price |
|---|---|---|
| 1. The old records | Everything in one clean set of records, checked with you, with a report of every change. | ₹90,000 |
| 2. One set of books | Billing, stock at both places, credit and challans in one app on your computers, the nightly Tally file, and training at each counter. | ₹3,20,000 |
| Later, if you like | Small monthly care: updates, small fixes, someone to message. Stop any time; the current month runs to its end. | ₹8,000 a month |
Nothing else to pay every month. The app runs on the computers you already have.
Option 1, the old records first. Phase 1 only. ₹90,000. Decide about the rest afterwards.
Option 2, the records and one set of books. Phases 1 and 2. ₹4,10,000.
How it goes
- You choose an option. Sign below, or reply on WhatsApp.
- The old records, about three weeks. We agree the balances together.
- Bicholim, about six weeks. The notebooks keep going alongside, so nothing is at risk.
- Valpoi, about two weeks. Both places see the same stock.
- The handover. Everything in your name, with a written guide.
What you'll own
- The app and its code, in an account in the business's name.
- Your records, on your own computers and backup drives.
- A written guide, so any decent developer can look after it. No subscription to me.
